REFUND, RESCHEDULING AND CHANGE

The Shamanic Retreats organized by MUNAYKI JOURNEYS EIRL are residential experiences of transformation, introspection, reconnection, and learning, developed in small groups and in spaces specially selected for this purpose.
Due to their nature, these retreats require advance planning and the contracting of specific services, including, depending on each program, accommodation, meals, transportation, facilitators, ceremonies, activities, and other services.
Therefore, booking a place means that MUNAYKI JOURNEYS may assume financial commitments with third parties before the retreat begins.
This Policy establishes the conditions applicable to requests for cancellation, date changes, transfer of a place, rescheduling, and refunds.
This Policy forms part of the contractual and informational documents applicable to the retreat and shall be interpreted together with the MUNAYKI JOURNEYS Terms and Conditions and the specific information provided for each program.
1. SCOPE
This Policy applies specifically to Shamanic Retreats, Connection Retreats, Inner Healing Retreats, and similar residential experiences directly organized by MUNAYKI JOURNEYS.
Each retreat may have specific conditions depending on:

Duration.
-
Retreat center.
-
Number of participants.
-
Accommodation.
-
Meals.
-
Transportation.
-
Facilitators.
-
Activities.
-
Ceremonies.
-
Contracted service providers.
The specific conditions will be communicated to the participant before their participation is confirmed.
2. LIMITED PLACES AND SMALL GROUPS
MUNAYKI JOURNEYS retreats are designed to take place in small groups.
The number of available places may be limited in order to preserve:

The quality of the experience.

Personalized attention.
-
The intimacy of the group.
-
Proper organization of activities.
-
The capacity of the retreat center.
When a participant confirms a place, that place may no longer be available to another person.
For this reason, a cancellation may result in costs that MUNAYKI JOURNEYS is unable to recover.
3. RESERVATION CONFIRMATION
Participation is confirmed when:

The participant accepts the retreat conditions.

Provides the required information.
-
Makes the required payment or deposit.
-
MUNAYKI JOURNEYS confirms the place.
An inquiry, request for information, or pre-registration does not by itself constitute a confirmed reservation.
4. PAYMENTS AND DEPOSITS
The amount paid to reserve a place may be used, in whole or in part, to secure services required for the retreat.
These may include:

Retreat center reservation.
-
Accommodation.
-
Meals.
-
Transportation.
-
Facilitators.
-
Ceremonial spaces.
-
Activities.
-
Materials.
-
Third-party services.
The possibility of refunding such amounts will depend on the conditions applicable to each service.
5. CANCELLATION REQUEST
Any cancellation request must be submitted to MUNAYKI JOURNEYS in writing through:

The effective cancellation date shall be the date on which MUNAYKI JOURNEYS receives the notification.
Verbal requests or requests made solely to third parties will not be considered a formal cancellation until they are communicated directly to MUNAYKI JOURNEYS.
6. CANCELLATION MORE THAN 90 DAYS IN ADVANCE
When a cancellation is requested more than 90 days before the retreat, MUNAYKI JOURNEYS will review the amounts actually recoverable.
Costs that have already been committed and cannot be recovered from service providers may be deducted.
The recoverable amount may be:

Refunded to the participant; or
-
Converted into a credit for another program, when mutually agreed.
7. CANCELLATION BETWEEN 90 AND 61 DAYS
If the cancellation occurs between 90 and 61 days before the beginning of the retreat, MUNAYKI JOURNEYS will determine the recoverable amount based on the conditions applicable to the contracted services.
Any refund will be subject to the amounts that can actually be recovered.
8. CANCELLATION BETWEEN 60 AND 31 DAYS
Between 60 and 31 days before the retreat, certain services may already have been reserved, confirmed, or paid for.
Therefore, the refundable amount will be calculated after taking into account non-recoverable services and the conditions established by the service providers.
9. CANCELLATION BETWEEN 30 AND 15 DAYS
When cancellation occurs between 30 and 15 days before the beginning of the retreat, the ability to recover certain payments may be considerably reduced.
MUNAYKI JOURNEYS will manage any refunds available from service providers and will inform the participant of the outcome.
10. CANCELLATION LESS THAN 15 DAYS IN ADVANCE
Cancellations made less than 15 days before the retreat may result in a significant loss of amounts paid, as many services may already be fully contracted and non-refundable.
MUNAYKI JOURNEYS will make the corresponding efforts to recover any amount that may be recoverable.
11. CANCELLATION ONCE THE RETREAT HAS STARTED
Once the retreat has begun, services have already started to be provided and/or have been made available to the participant.
Therefore, if the participant voluntarily decides to leave the retreat, not participate in certain activities, or return to their place of origin early, this will not automatically entitle them to a refund for unused services.
Any exceptional circumstance will be evaluated individually.
12. VOLUNTARY WITHDRAWAL FROM THE RETREAT
If the participant voluntarily decides to leave the retreat, they shall be responsible for any additional expenses resulting from their departure, including, where applicable:

Additional transportation.

Additional accommodation.
-
Meals.
-
Transportation changes.
-
Personal expenses.
-
Other services resulting from their decision.
MUNAYKI JOURNEYS may provide reasonable assistance in coordinating the participant's departure, without automatically assuming such costs.
13. EARLY DEPARTURE FOR HEALTH REASONS
When a participant must leave the retreat for health reasons, MUNAYKI JOURNEYS will endeavor to provide reasonable assistance in coordinating their departure.
The costs of:

Transportation.
-
Medical care.
-
Medication.
-
Additional accommodation.
-
Evacuation.
-
Early return.
shall be the responsibility of the participant, unless otherwise required by mandatory law or covered by applicable insurance.
Participants are encouraged to obtain appropriate travel insurance.
14. TRANSFER OF A PLACE
When possible, a participant may request to transfer their place to another person.
The transfer must be approved in advance by MUNAYKI JOURNEYS.
The replacement participant must:

Meet the requirements of the retreat.

Provide the required information.
-
Accept the program conditions.
-
Accept the Terms and Conditions.
-
Accept this Policy.
-
Comply with the established preparation requirements.
The transfer may involve administrative costs or third-party charges.
15. CHANGE TO ANOTHER RETREAT
When circumstances permit, MUNAYKI JOURNEYS may authorize the transfer of the reservation to another retreat.
The change will depend on:

Availability.
-
Dates.
-
Number of available places.
-
Price difference.
-
Costs already committed.
-
Service provider conditions.
If the new retreat has a higher price, the participant shall pay the difference.
16. CREDIT FOR FUTURE PROGRAMS
When feasible, MUNAYKI JOURNEYS may offer a credit equivalent to the recoverable amount of the reservation.
The credit shall specify:

Amount.
-
Date of issue.
-
Original program.
-
Expiration date, if applicable.
-
Programs in which it may be used.
-
Conditions of use.
The credit may not automatically be converted into cash when the conditions under which it was issued expressly establish another form of use, always subject to the rights recognized under applicable law.
17. RETREAT CENTER
Retreat centers may require advance reservations and payments subject to specific cancellation conditions.
If MUNAYKI JOURNEYS is unable to recover an amount paid to the retreat center due to a participant's cancellation, that amount may be considered a non-recoverable cost of the reservation, where applicable.
18. ACCOMMODATION
Accommodation included in the retreat will be subject to the conditions of the corresponding establishment.
If an accommodation reservation is:

Non-refundable;
-
Partially refundable; or
-
Subject to a cancellation fee,
such conditions will be taken into account when calculating any refund.
19. TRANSPORTATION
Transportation services included in the retreat will be subject to the conditions of the relevant provider.
Any modification requested by the participant may result in additional costs.
When such costs result from a personal decision made by the participant, they shall be the participant's responsibility.
20. RETREAT ACTIVITIES
The program may include activities of a spiritual, cultural, contemplative, or nature-based nature.
The schedule may be modified for reasons including:

Safety.

Weather.
-
Availability.
-
Conditions at the location.
-
Decisions made by facilitators.
-
Extraordinary circumstances.
Whenever possible, a cancelled activity may be rescheduled or replaced by another activity of an equivalent nature.
21. CEREMONIES AND TRADITIONAL PRACTICES
Ceremonies and traditional practices form an integral part of the particular nature of certain retreats.
Participation must take place in accordance with the instructions provided by the facilitators and those responsible for the activity.
Participation in these activities shall be voluntary and subject to the specific conditions communicated before or during the retreat.
A participant's personal decision not to participate in an activity included in the program does not automatically entitle them to a partial refund of the total retreat price.
22. PREPARATION REQUIREMENTS
Some retreats may require preparation in advance.
MUNAYKI JOURNEYS may provide instructions relating to:

Diet.

Rest.
-
Clothing.
-
Hydration.
-
Schedules.
-
Physical activity.
-
Preparation practices.
-
Personal recommendations.
The participant shall be responsible for reading and following such instructions.
23. HEALTH INFORMATION
Before the retreat, the participant must inform MUNAYKI JOURNEYS of any condition or circumstance that may be relevant to their safe participation.
This may include:

Allergies.

Dietary restrictions.
-
Physical limitations.
-
Medication.
-
Relevant medical conditions.
-
Other circumstances that may affect participation in specific activities.
MUNAYKI JOURNEYS may request additional information when reasonably necessary for the organization and safety of the retreat.
24. FITNESS TO PARTICIPATE
The participant is responsible for determining, with an appropriate professional when necessary, whether they are in suitable condition to participate in the retreat activities.
Activities may take place in natural, rural, or high-altitude environments and may require a certain level of mobility and physical endurance.
Information provided by MUNAYKI JOURNEYS regarding the activities does not constitute a medical diagnosis and does not replace an assessment by a qualified healthcare professional.
25. PARTICIPANT AND GROUP SAFETY
MUNAYKI JOURNEYS may restrict a person's participation in a particular activity when there are objective reasons related to their safety or the safety of others.
This may occur, for example, when a person:

Is unable to follow basic safety instructions.

Is in a condition incompatible with the activity.
-
Displays behavior that presents a risk.
-
Fails to comply with essential instructions from facilitators.
Restricting participation in a specific activity does not automatically constitute cancellation of the retreat or entitle the participant to a proportional refund.
26. GROUP CONDUCT AND COEXISTENCE
The retreat is a group experience and requires respect toward other participants, facilitators, staff, local communities, and the spaces being used.
The following conduct will not be tolerated:

Violence.

Threats.
-
Harassment.
-
Assault.
-
Discrimination.
-
Intentional damage.
-
Dangerous behavior.
-
Serious disrespect.
-
Repeated failure to comply with safety rules.
In serious cases, MUNAYKI JOURNEYS may require the participant to leave an activity or the retreat.
27. ALCOHOL AND OTHER SUBSTANCES
The consumption of alcohol and other substances shall be subject to the rules established by MUNAYKI JOURNEYS, the retreat center, and those responsible for the activities.
A person will not be permitted to participate in activities when their condition may pose a risk to themselves or others.
Specific ceremonies and activities may establish additional participation requirements.
28. CANCELLATION BY MUNAYKI JOURNEYS
MUNAYKI JOURNEYS may cancel or reschedule a retreat when extraordinary circumstances make its operation impossible, unsafe, or unreasonable.
Such circumstances may include:

Force majeure.

Natural disasters.
-
Extreme weather conditions.
-
Roadblocks.
-
Strikes.
-
Social unrest.
-
Government restrictions.
-
Serious security concerns.
-
Extraordinary unavailability of the retreat center.

Other circumstances beyond the reasonable control of MUNAYKI JOURNEYS.
When applicable, MUNAYKI JOURNEYS will inform the participant of the available alternatives.
29. PROGRAM MODIFICATIONS
MUNAYKI JOURNEYS may make reasonable changes to the program when necessary to:

Improve safety.

Adapt to weather conditions.
-
Respond to local circumstances.
-
Maintain continuity of the retreat.
-
Replace a service provider.
-
Adapt to the availability of the location.
When a modification is substantial, MUNAYKI JOURNEYS will endeavor to provide an appropriate solution in accordance with applicable law.
30. IF AN ESSENTIAL PART OF THE RETREAT CANNOT BE PROVIDED
If, due to circumstances attributable to MUNAYKI JOURNEYS, it is not possible to provide an essential part of the contracted service, the appropriate solution will be evaluated according to the circumstances and applicable law.
Such solution may include, where applicable:

Substitution.
-
Rescheduling.
-
Credit.
-
Proportional reduction.
-
Refund of the corresponding portion.
31. FORCE MAJEURE
When an extraordinary and unavoidable circumstance affects the operation of the retreat, MUNAYKI JOURNEYS will act reasonably to mitigate its effects.
The occurrence of force majeure does not necessarily mean that all services contracted by MUNAYKI JOURNEYS can be recovered from third parties.
Therefore, any refund will be determined based on the amounts actually recoverable and the rights recognized under applicable law.
32. REFUND CALCULATION
When a refund is applicable, the following will be used as a reference:
Total amount paid by the participant
less:

Services already used.
-
Non-refundable services.
-
Applicable penalties.
-
Non-recoverable reservations.
-
Non-recoverable third-party costs.
-
Other amounts legally applicable.
MUNAYKI JOURNEYS will inform the participant of the calculation when applicable.
33. REFUND PROCESSING TIME
Once the amount to be refunded has been determined and the information necessary to process the payment has been received, MUNAYKI JOURNEYS will endeavor to process the refund within a maximum period of 30 calendar days, unless the refund depends on an external provider or there is another circumstance that justifies a different period.
When a refund from a third party is still pending, MUNAYKI JOURNEYS may inform the participant of its status.
34. REFUND METHOD
Refunds may be made by:

Bank transfer.
-
Refund to the original payment method.
-
Another mutually agreed method.
When payment was made by card or payment platform, the refund may be processed through the same system whenever possible.
The time required for funds to be credited may depend on the relevant financial institution or payment platform.
35. TRAVEL INSURANCE
MUNAYKI JOURNEYS recommends obtaining insurance that, where possible, covers:

Medical expenses.

Emergencies.
-
Evacuation.
-
Cancellation.
-
Trip interruption.
-
Early return.
-
Baggage.
-
Other risks related to travel.
The insurance must be purchased directly by the participant.
36. CONSUMER RIGHTS
Nothing in this Policy is intended to exclude, limit, or waive any rights to which the participant is entitled under mandatory consumer protection laws or other applicable legislation.
If any provision of this Policy is incompatible with a mandatory legal provision, the mandatory legal provision shall prevail.

Each retreat may have an additional document entitled:

This document may establish:

Payment schedule.

Location.

Duration.
-
Included services.
-
Services not included.

Maximum number of participants.

If specific conditions apply, they will be communicated before the reservation is confirmed.
38. ACCEPTANCE OF THE POLICY
By making the payment and confirming their place, the participant declares that they have had access to the information relating to the retreat and have had the opportunity to request clarification before making the reservation.
Confirmation of the place constitutes acceptance of the conditions applicable to the program, without prejudice to any rights to which the participant may be entitled under applicable law.
